1 · What we collect
Two separate categories, held for different reasons and on different bases.
Business information
Publicly listed business name, trading address, service area, trades, phone number,
business email, website address, and public review content. This is information a business
publishes about itself in order to be found.
Information you give us
If you call, email, or use the contact form: your name, business name, the phone number or
email you asked to be reached on, and whatever you chose to tell us.
Citadel Media LLC is the controller of this information. We rely on legitimate interest to contact a business about services relevant to it, and on your consent once you reply or ask us to keep in touch. You can withdraw either at any time by emailing us.
2 · Where it comes from
Public business listings, public review platforms, and your own public website. We do not
purchase contact lists, and we do not use data brokers.
We do not collect personal information about you as an individual beyond the business
contact details you have published, or the details you give us directly.
3 · How we use it
- To assess whether a business is a fit for what we do, against published eligibility
criteria.
- To build a preview from public facts, reviewed by a person before it is sent.
- To make one contact attempt, from a named human, with an unsubscribe path.
- To reply to you if you get in touch, and to deliver services if you become a
customer.
- To meet our tax, accounting, and dispute-resolution obligations.
We do not use your information to train models, and we do not enrich it with data from
other sources.
4 · Who we share it with
Service providers who process data on our behalf under contract: hosting, email delivery,
payment processing, and customer support tooling. Each is bound to use it only to provide
that service.
We do not sell personal information. We do not share it for anyone else's marketing.
Our current processors are our hosting provider, our transactional email provider, our payment processor, and our support inbox provider. All process data inside the United States. We disclose information to a public authority only where we are legally compelled to, and we will tell you when that happens unless we are prohibited from doing so.
5 · How long we keep it
- If you ask us to stop: contact details are deleted and the preview is
taken down the same business day. We retain a minimal suppression record — enough to
ensure we never contact you again — and nothing else.
- If you do not respond: 90 days, after which the contact record and any preview built for you are deleted automatically.
- If you become a customer: for the duration of the relationship, plus
the period we are required to retain financial records.
6 · Your rights and how to use them
You can ask us to show you what we hold, correct it, delete it, or stop contacting you.
One email does all four — you do not need to cite a regulation or use particular wording.
Email office@thecitadelmedia.com. We act on removal requests the same business day and on access requests
within 30 days.
We verify a request by replying to the business contact details we already hold, so that nobody can obtain or delete your information by asking on your behalf. If you are not satisfied with how we handle a request, you may complain to your state Attorney General.
7 · Security
Data is held in access-controlled systems, encrypted in transit. Preview sites are hosted
on isolated domains under our control, are not indexed by search engines, and are not
linked to from any public page.
No system is perfectly secure. If a breach affects your information we will tell you
what happened, what it means for you, and what we are doing about it — within 72 hours of confirming it.
